This Privacy Notice for BLS International Services Limited (“BLS”, “we”, “us” or “our”) explains how and why personal data may be collected, used, stored, shared or otherwise processed when you use our visa application support services, visit or interact with our website, communicate with us by email, telephone or other communication channels, visit a Visa Application Centre, or use any additional services offered by BLS.

1. WHO ARE WE?

  • BLS International Services Limited (“BLS”) is authorised by the competent diplomatic mission and/or authorities of the Government of Thailand to provide visa application support services, including providing information regarding visa procedures and requirements and receiving visa applications from applicants falling within the relevant jurisdiction.
  • BLS acts as a Data Processor while providing visa outsourcing and administrative support services on behalf of the competent diplomatic mission and/or authorities of the Government of Thailand. BLS does not determine whether a visa application should be granted or refused. All decisions relating to the assessment, grant, refusal or issuance of visas rest solely with the competent diplomatic mission and/or the competent authorities of the Government of Thailand.
  • In addition to visa application support services, BLS may offer certain optional Value Added Services (“VAS”) / Additional Services at the applicant’s request, such as courier delivery of documents, SMS notifications, form-filling assistance and other ancillary services, as applicable.
  • Where BLS provides such Value Added Services directly to you, BLS processes the personal data necessary to provide the selected service under a direct service relationship with you. In relation to such processing, BLS acts as the Data Fiduciary / Data Controller for the relevant Value-Added Service.

2. SCOPE

This Privacy Notice applies to all personal information that we collect from you, whether online or offline.

3. PURPOSE

We may collect and process your personal information for the following purposes:

  • To receive, verify and facilitate the submission and processing of your visa application with the competent diplomatic mission and/or competent authorities of the Government of Thailand.
  • To receive and manage appointment-related requests and communications, including those submitted through designated email channels.
  • To provide customer support and respond to your queries, requests, or complaints
  • To communicate application status updates, notifications, and service-related information
  • To comply with applicable laws, regulations, and lawful requests from authorities
  • To ensure security, prevent fraud, and maintain the integrity of our systems and services
  • To establish, exercise, or defend legal claims and manage dispute resolution
  • To provide additional or optional services requested by you, including, where applicable, courier services, SMS notifications and other Value Added Services.

Personal data is processed strictly for the above purposes and limited to what is necessary, in accordance with applicable data protection laws and the principles of data minimisation and purpose limitation.

4. WHAT INFORMATION WE COLLECT?

When providing visa services on behalf of the competent diplomatic mission and/or authorities of the Government of Thailand

The personal data and supporting documents required from you may vary depending on the type of visa for which you are applying. These requirements are determined by the competent diplomatic mission and/or authorities of the Government of Thailand.

The specific information and documentation required for each visa category are available on the relevant pages of the BLS website “Website” where you may review the requirements applicable to your chosen visa application.

While providing visa outsourcing services on behalf of competent diplomatic mission and/or authorities of the Government of Thailand, BLS may collect and process personal data necessary for the submission and processing of your visa application. This may include, as applicable, identification details, passport and travel document information, contact details, travel information, photographs, supporting documents, financial information, and any other information required by the competent diplomatic mission and/or authorities of the Government of Thailand.

When providing Value Added Services (VAS)

Where you choose to avail any Value Added Service, such as courier services, SMS notifications or other optional services, BLS acts as the Data Fiduciary / Data Controller in relation to such service and may collect the personal data necessary to provide the selected service. Such personal data may include the following:

  • Name
  • Date of Birth
  • E mail Address
  • Applicant address details
  • Telephone Number/Mobile Number
  • Application reference number

5. HOW DO WE COLLECT YOUR INFORMATION?

We may collect your personal information when you interact with us in the following ways:

  • Appointment Requests through Email: Name, email address, mobile number, passport details, visa category and other information provided by you for scheduling or managing an appointment.
  • Website / Feedback or Query Forms: Name, email address, telephone number, message and other information voluntarily submitted by you through the Website.
  • Call Centres: Name, contact details, passport or application-related information, where required to respond to your query.
  • Visa Application Centres: Personal data, visa application forms and physical or electronic supporting documents required for processing your visa application.
  • Additional / Value Added Services: Service-specific personal information necessary to provide the service requested by you, such as contact and delivery information for courier services.
  • Appointment Cancellation, Queries or Feedback: Personal information provided by you, including appointment, passport or application reference details, where applicable.
  • Automatic Collection: Certain technical information, such as IP address and device or browser information, may be collected when you access the Website for security, fraud prevention and Website functionality purposes.

6. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?

We process personal data in accordance with the Digital Personal Data Protection Act, 2023 (“DPDP Act”) and other applicable laws.

  1. 1. Consent: We may process your personal data where you have provided consent for a specified purpose.
    Where processing is based on consent, you may withdraw your consent at any time by contacting us at dpo@blsinternational.com. Withdrawal of consent will not affect the lawfulness of processing carried out before such withdrawal.
    Where required under applicable law, if there is a material change in the specified purpose for which your personal data is processed, we will provide appropriate notice and obtain fresh consent, where necessary.
    Where you voluntarily choose to use any Value Added Services / Additional Services, we may process the personal data necessary to provide the selected service based on your consent.
  2. 2. Legitimate Uses: We may process your personal data without obtaining fresh consent where such processing is permitted as a legitimate use under the Digital Personal Data Protection Act, 2023, including, where applicable:
    1. 1. Voluntarily Provided Data: Where you voluntarily provide your personal data for a specified purpose and have not indicated that you do not consent to its use for that purpose, we may process such personal data for that specified purpose.
    2. 2. Compliance with Legal Obligations: We may process personal data where necessary for complying with a judgment, decree, order or other requirement imposed under applicable law.
    3. 3. Medical Emergencies: We may process personal data where necessary to respond to a medical emergency involving a threat to the life or immediate threat to the health of you or another individual.
    4. 4. Public Health, Disaster or Public Order: Where permitted under applicable law, we may process personal data where necessary to provide medical treatment or health services during a threat to public health, or to ensure safety or provide assistance during a disaster or breakdown of public order.

We may also process personal data in other circumstances where such processing is expressly permitted or exempted under applicable law.

7. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

We may share your personal data only where necessary for the purposes described in this Privacy Notice and in accordance with applicable law.

We may share your personal data with:

  1. 1. The competent diplomatic mission and/or authorities of the Government of Thailand, where necessary for the submission, processing and determination of your visa application.
  2. 2. Authorised service providers and vendors that support the delivery of our services, including courier providers, SMS or communication service providers, IT and technology service providers, and other vendors engaged for operational support.
  3. 3. Government, regulatory, judicial or law-enforcement authorities, where disclosure is required or permitted under applicable law, court order, legal process or lawful request.
  4. 4. Authorised BLS personnel or group entities, where access is necessary for providing the relevant services, maintaining systems, ensuring security, or complying with legal and operational requirements, subject to appropriate confidentiality and data-protection safeguards.

We disclose personal data only to the extent that is reasonably necessary for the relevant purpose. Where personal data is shared with service providers, we take reasonable measures to ensure that such providers process the data only for authorised purposes and maintain appropriate confidentiality and security safeguards.

8. HOW LONG DO WE KEEP YOUR INFORMATION?

Personal data relating to visa and consular services is retained only for as long as necessary for the purposes for which it was collected and in accordance with applicable law and the requirements of the competent diplomatic mission and/or authorities of the Government of Thailand.

BLS retains such personal data only for the period necessary to facilitate visa application processing, appointment administration, return of passports and documents, operational reconciliation, customer support and other related administrative purposes.

In certain circumstances, personal data may be retained for a longer period where necessary for grievance handling, fraud prevention, audit, compliance with legal obligations, or the establishment, exercise or defence of legal claims.

Upon completion of the applicable retention period, personal data will be securely deleted, returned or otherwise disposed of, as applicable, in accordance with applicable law and the requirements of the competent diplomatic mission and/or authorities of the Government of Thailand.

9. HOW DO WE KEEP YOUR INFORMATION SAFE?

We implement reasonable security safeguards designed to protect your personal data against unauthorised access, disclosure, alteration, loss, misuse, destruction, or other unauthorised processing.

These safeguards may include appropriate technical, organisational, and physical measures, such as access controls, encryption, network and system security, monitoring and logging, secure transmission mechanisms, and measures to restrict access to personal data on a need-to-know basis.

While we take reasonable steps to protect personal data, no system or method of transmission can be guaranteed to be completely secure.

In the event of a personal data breach, we will take appropriate measures in accordance with applicable law, including containment, assessment, remediation, and notification to the relevant authorities and affected individuals, where required.

10. DO WE COLLECT INFORMATION FROM MINORS?

We may process personal data relating to individuals below the age of 18 years where such processing is necessary in connection with a visa application or related services.

Where required under applicable law, personal data of a minor will be processed only after obtaining verifiable consent from the parent or lawful guardian.

We do not undertake processing that is likely to cause a detrimental effect on the well-being of a minor, nor do we undertake tracking or behavioural monitoring of minors or targeted advertising directed at minors, except where otherwise permitted under applicable law.

11. IS YOUR INFORMATION TRANSFERRED INTERNATIONALLY?

As part of providing visa and consular services, your personal data may be transferred outside India, including to competent authorities of the Government of Thailand, where such transfer is necessary for the submission, processing and determination of your visa application.

Your personal data may also be accessed or processed by authorised BLS entities or service providers located outside India where necessary for providing the relevant services, subject to applicable data-protection requirements and appropriate safeguards.

Any transfer of personal data outside India will be carried out in accordance with the Digital Personal Data Protection Act, 2023, applicable rules, and any restrictions, conditions or requirements prescribed or notified by the Government of India or other competent authority from time to time.

12. THIRD PARTY SITES/ LINKED SITES

The Website may contain links to other websites or resources over which BLS does not have any control. Such links do not constitute an endorsement by BLS of those external websites. You acknowledge that BLS is providing these links to you only as a convenience, and further agree that BLS is not responsible for the content of such external websites. We are not responsible for the protection and privacy of any information which you provide while visiting such external websites and such sites are not governed by BLS Policy. Your use of any external website is subject to the terms of use and Privacy Notice located on those external websites.

13. DO WE USE COOKIES?

14. WHAT ARE YOUR PRIVACY RIGHTS?

You have certain rights in relation to your personal data under the Digital Personal Data Protection Act, 2023 and other applicable data protection laws. These rights may include:

Right of Access: You have the right to obtain information about your personal data being processed, including a summary of the personal data being processed, the processing activities undertaken, and information regarding the entities with whom such personal data has been shared, as applicable.
  2. 2. Right to Correction and Erasure: You have the right to request correction of inaccurate or misleading personal data, completion of incomplete personal data, updating of personal data, and erasure of personal data, subject to applicable legal requirements and retention obligations.
  3. 3. Right to Grievance Redressal: You have the right to raise a grievance regarding the processing of your personal data by contacting the Data Protection Officer at dpo@blsinternational.com.
  4. 4. Right to Nominate: You have the right to nominate another individual to exercise your rights in the event of your death or incapacity, in accordance with applicable law.

Where BLS processes personal data on behalf of the competent diplomatic mission and/or authorities of the Government of Thailand, BLS may facilitate the exercise of applicable privacy rights and coordinate with the relevant competent authority, where necessary.

15. HOW TO EXERCISE YOUR PRIVACY RIGHTS?

If you wish to exercise your privacy rights in relation to personal data processed by BLS, you may contact us at dpo@blsinternational.com.

Where BLS acts as the Data Fiduciary / Data Controller, including in relation to certain Value Added Services, BLS will assess and respond to your request in accordance with applicable data protection laws.

Where BLS processes personal data on behalf of the competent diplomatic mission and/or authorities of the Government of Thailand, BLS may receive and facilitate your request and provide reasonable assistance in handling the request, in accordance with applicable instructions and legal requirements.

Where necessary, such requests may be referred to or coordinated with the relevant competent authority for appropriate action or response.

We will respond to or facilitate the handling of your request within the timelines required under applicable law.

16. CHANGES TO THE NOTICE

Our Privacy Notice may be updated from time to time to reflect any regulatory amendments or changes in our services and operations. You may also check latest amendments by visiting our website. The date of the most recent revisions will appear on the top of the page.
